Apostille, certified translation and family document name matching for a Greece Golden Visa application

A marriage certificate can be genuine and still be unusable in a filing pack. It may lack the required authentication, carry a translation from an unsuitable provider, show an earlier name without an explanatory document, or fail to establish the precise family relationship relied upon.

The efficient approach is to build the family-document file before the residence application is ready to submit. Authentication, translation and correction work can take longer than expected, especially when documents must move between countries.

Start with the relationship that must be proved

Do not begin by ordering every civil-status document available. First ask the lawyer to map each applicant to the main investor and identify the evidence required for that relationship.

A working matrix may include:

Family relationship and supporting-document matrix

This is a preparation tool, not a substitute for the current legal definition of eligible family members. The necessary combination depends on the relationship, the issuing country and the applicant's circumstances.

Authentication comes before translation

The Greek Ministry of Foreign Affairs explains that foreign public documents must be authenticated before they can be officially translated for use in Greece. For countries participating in the Hague Apostille Convention, an Apostille is generally the relevant route, subject to country-specific exceptions or bilateral arrangements. In other cases, consular authentication may be required.

The order matters. Translating an unauthenticated document may create a document that must be translated again after the Apostille or consular certification is added.

Investors should confirm:

  • whether the issuing country uses the Apostille Convention with Greece;
  • which authority may issue the Apostille;
  • whether an exception or bilateral arrangement applies;
  • whether the original, certified copy or electronic document is acceptable; and
  • whether every certification page, stamp and annotation must be translated.

Greece's e-Apostille service covers specified documents issued through gov.gr, including certain Greek family-status, birth and marriage certificates. It should not be treated as an electronic Apostille service for arbitrary documents issued abroad.

Translation must be usable in the Greek procedure

Gov.gr and the Ministry of Foreign Affairs provide access to the Register of Certified Translators. The official guidance also recognises other legally available translation channels in appropriate cases. The filing lawyer should confirm which route will be used before translation is commissioned.

For quality control, ask the translator to preserve:

  • names exactly as shown in the source document;
  • all document numbers and dates;
  • issuing authorities and places;
  • stamps, annotations and Apostille text; and
  • any transliteration already used on the applicant's passport.

Machine translation or an informal bilingual summary is not a certified translation merely because the meaning appears accurate.

Four consistency checks before filing

1. Name matching

Compare passports, powers of attorney, bank records, purchase documents and civil-status certificates. Where a person has a birth name, married name, patronymic or several valid transliterations, document the link rather than silently altering the translation.

2. Date format

A date such as 04/07/2026 can be read differently across countries. Keep the source format visible and ensure the certified translation removes ambiguity without changing the recorded date.

3. Place and authority

The city, district, registry and issuing authority should be translated consistently. Similar place names should not be “corrected” from memory.

4. Document currency

Ask the filing lawyer how recent each civil-status record must be for the intended submission and whether a new original is required. Do not assume that one validity period applies to every country, relationship or authority.

A pre-filing control sheet

For each family member, record the source document, issue date, issuing country, authentication route, Apostille or certification date, translator, passport spelling, identified discrepancy and final approval status. Keep scans of the complete document, including reverse pages and attachments.

If a document is reissued, update the control sheet and remove the superseded version from the active submission folder. Two similar certificates with different spellings can create avoidable confusion.

Hypothetical example

Assume a child's birth certificate uses the father's name in a local-script transliteration that differs from his current passport. The family should not edit the certificate or ask the translator to force a match. The lawyer should decide what linking evidence or explanatory declaration is needed, and the translator should accurately reproduce the source document.
